Key Management System
The system will provide a complete audit trail of key usage by person, date or type on requisition. The system also includes ability to send reminders for keys not returned by SMS and escalation matrix in case the keys are critical in nature.
Manages 8 / 16 / 32 (optional) keys securely. Authorized access to keys as per RFID Card / PIN Pad. Captures each event of key with time stamp and user data. All KMS key boxes installed in outlets will be centrally monitored and managed on central server software.
The access to the key box cabinet will be secure and complete audit trail will be available in the system. Also, the access detail will be recorded with time-stamp in the system to form the key event.
Access to Key box cabinet can be granted through multiple ways of authorisation. Combination of any 2 ways can also be implemented basis requirement. # RFID card reader, # Password / PIN pad
Key FOB
Unique key fob system with lockable position enable user to easily access keys. Positions are indicated with colored LED indicating access points. Key fobs are secured with high security laser etched key rings providing unique numbers for rings and easy installation
Data flow from Key Box to Central Server application
All events, alarms, and errors generated by the KMS will be transmitted to the central monitoring application. The following details will be captured and transmitted to the central monitoring application as part of the event log
- Key safe number (specific id for location) and site
- User id
- Date and time
- Exception code (if there is any generated)
- Exception description & time stamp
- Alarm events
User Configuration
User configuration is possible from a remote central application. Application will enable central application manager to – add / delete / edit user and related information. All events related to user configuration will be retained in central application as events.
Key Configuration
Keys inside cabinet can be configured remotely through application or locally. KMS application using a web server is required for configuration at site level with pre-defined access level & password security. The authorized person with access defined will be allowed to configure the cabinet.
Event storage on KMS Key Box
The key box cabinet is designed with enough memory to store a minimum of 45,000 transactions/events data.
Alarms & events
The system will have two types of alarm based on system & operational requirements. Operational alarm – related to an operational parameter, System alarms – on electronics, configuration & application.
Alarm menu will generate the required alarms in the system to facilitate user & system manager to take corrective action. Alarms will be visible on the KMS cabinet display, and buzzer sound will be activated with the alarm condition. There will be a procedure to deactivate the alarms. With alarm deactivation, both visual and sound will be deactivated. A complete audit trail will be there in the system.
Emergency operation
The system will have keys access mechanism to bypass & use “Emergency Key” to access keys in an emergency. The bypass or Emergency key will be used when the cabinet is not accessible with regular authorization, and there is an emergency to be addressed
